During Wedding


  1. 1- ACCOMODATION :
    • Assistance in preparing rooming list two weeks before arrival.
    • Assistance in preparing Arrival & Departure list with hotel FO staff.
    • Room allocations pre-wedding, with your family and hotel staff.
  2. 2- HOSPITALITY & TRANSPORT LOGISTICS TEAM TAKES OVER:
    • Planning & Preparation of room amenities.
    • Before check ins of guests in room amenities would be placed in each room along with the welcome letters.
    • Pre-check ins basis availability.
    • Room keys along with an itinerary would be handed over to guests.
    • Ensure that welcome drink is served to guests on arrival by the hotel.
    • Manage Baggage for the guests at the time of check ins - delivered to their respective rooms.
    • 45 minutes before any function a reminder call would be given to all guests in their rooms.
    • All drivers of the respective guests would be lined up before transfers.
    • Turn down service to be coordinated every night.
    • In case required then appointments with beauticians would also be arranged.
    • In case of ironing facility or laundry provided the same would also be coordinated.
    • Coordination with Travel Company.
    • All departure dates and flight details would be reconfirmed during the stay of the guests to ensure smooth check out of all guests.
    • Reminder calls to all vendors as per their reporting time at respected venues.

  1. 3- At Airport (for destination weddings):
    • Dedicated people at the airport who would be keeping a track of flight arrivals with customized placards.
    • Guests would be escorted to the vehicles for transfer to the hotels.
    • Each car can be tagged with stickers & car numbers and details of all drivers including reporting & closing time would be kept a track on.
    • All driver names, mobile numbers, vehicle numbers would be with Sound of Music team.
    • Assistance in providing Cologne towels, Mineral water / juices would be served in the cars incase required.
  2. 4- EVENT VENUES:
    • Availably / and set up timings closure at each selected venue.
    • Preparing for night shift, generators and power supply.
    • Licenses for performers.
    • Staffing.
  3. 5- DESIGN DECOR:
    • Décor deliver as per detailing with production, florals, fabricators, lights & sound engineers/ artists.
    • Placement as per Layout planning of each venue.
    • Monitor Design implementation.
    • Maintain delivery time.

    • On ground support for Kitchen construction.
    • Tenting, tables, platforms.
    • Power supply & lighting.

    • A dedicated team from Sound of Music would also keep a check on the alcohol consumed on each bar during all events.
    • Ensuring service of starters at all functions from hotel / caterer, ensuring food is refilled properly, all food items on buffet are hot etc.
